How to Build a Fitness/New Member Challenge
Fitness and New Member Challenges are an excellent way to attract new members to your gym or studio. These plans are typically non-recurring with a specific end date. Below is a step-by-step guide to setting up a 6-week challenge, assuming participants will attend a designated class type.
Step-by-Step Setup for a 6-Week Challenge:
From your core dashboard, head over to the Plans section, then select Plans.
Create a New Plan by selecting +Plan to start creating your new challenge plan.
Choose the Non-Recurring option since this is a one-time challenge with a defined timeframe.
Fill in Basic Info:
Plan Name: Enter the name of your challenge (e.g., "6-Week Transformation Challenge").
Client Status: Choose the client status (e.g., Member, Non-member, Lead, etc.).
Plan Category: Assign it to a relevant category for easy tracking and reporting.
Configure Billing:
Price: Set the price for the challenge.
Plan Expiration: Set the plan to expire after 6 weeks.
One-Time Setup Fee: Determine if you’ll charge an initial setup fee and add any applicable taxes.
Set Class Availability & Access:
Choose which classes are available under this plan.
Decide if participants will have access to Open Gym during the challenge.
Set an attendance limit if applicable (e.g., participants can attend up to 3 classes per week).
Select Next to move to other settings.
Choose how you want to offer or sell the challenge plan:
The best options are to sell from the Staff App (Kiosk) and/or from Website plan list. You'll be able to forward the landing page link or post to social media as well.
Create a confirmation message:
Additional challenge information
Create a link to resources
Be positive!!!
Short & Long Descriptions:
Use the Short description to provide a concise description of the challenge (e.g., Number of classes per week & what classes are available)
The Long description is perfect for giving a detailed outline of the challenge, expectations, and parameters.
Once all settings are complete, select Save to activate the plan.
How to Charge a Yearly Gym Maintenance Fee
A yearly gym maintenance fee helps cover the costs of facility upkeep, equipment upgrades, improved amenities, software and technology, and operational expenses. It provides a consistent revenue stream for long-term planning while funding community events and programs to enhance the member experience. This industry-standard practice ensures gyms can continually reinvest in creating a safe, modern, and enjoyable environment for members.
Create a New Plan
Go to the Plans section and select + Plan.
Set Up a Recurring Plan
Complete the basic information making sure to name the plan and set the client status to "Member".
Specify the fee amount to be charged annually.
Configure Recurring Interval
Set the recurring interval to 1 year(s).
Select Recurs Forever
Adjust Check-In Settings
Select "No Classes" to remove check ins on the plan
De-select "Open Gym"
Member Visibility Settings:
De-select all options under "Online Sales"
Save
Notes:
Manual Addition: Add this plan to each member manually when they join. The fee will charge immediately and recur annually on the same date.
Specific Billing Date: If you want to charge all members on the same date (e.g., January 1st), set the Next Bill Date to that date when adding the plan to their account.
