Appointment types are the foundation for managing and selling services. They enable booking through landing pages (via Appointment Packages) or internal processing for clients. Setting them up is the first step in organizing your offered specialties or services.
Creating or Editing Appointment Types
Access Appointment Settings:
From the dashboard, select Appointments > Settings (gear icon).
Add or Edit Appointment Types:
To create a new appointment type, click + Type.
To edit an existing appointment type, click Edit from the three dots next to the type.
Details Tab:
Complete the following fields:
Name: Name of the appointment type.
Color: Assign an identifying color.
Duration: Set the duration of the appointment.
Client Status: Define the applicable client status.
Assign Staff: Select staff members available to handle this appointment.
General Availability: Set the default time slots for this appointment.
Note: Staff-specific availability is managed in the staff profile under Working Hours.
Settings Tab:
Adjusted availability settings, including:
Minimum Booking Window: Limit the time slots clients can select when they are self-booking
Buffer Time: Set a buffer before and/or after the appointment.
Booking Settings: Define how far in advance appointments can be booked.
Late Cancel Window: Specify the time frame for cancellations to avoid late fees or penalties.
Notifications Tab:
Set notification preferences for clients and staff:
Staff Notifications: Staff members receive email confirmations of booking (Select: b'cc Staff).
Client Notifications: Clients receive booking confirmations, reminders, and follow-up notifications.
Once booked, staff can follow up directly through the Staff App.
Creating or Editing Appointment Packages
Navigate to Appointment Settings:
From the Dashboard, select Appointments
Click the Settings (gear icon)
Create a New Package by selecting “Packages” then clicking “+ Package”
Configure the Package Details:
Name the Package (e.g., 30 Min PT Appointment, 3 x 60 Min Personal Training, In-Body Scan 12-Pack)
Select the Appointment Type associated with the package
Assign the number of credits and expiration date
Set the package price
Enable or disable availability on the Member App using the toggle
Add Descriptions:
Short Description: Briefly describe the package (e.g., Three 60-minute personal training sessions with a 30-day expiration)
Long Description: Outline package rules, cancellation policies, and important details
Save the Package
Setting Up Appointment Discounts
Appointment discounts function similarly to plan/membership discounts in PushPress Core and are applied to specific appointment package landing pages. These pre-set discounts ensure a streamlined checkout process.
Access Appointment Settings:
From the Dashboard, select Appointments
Click the Settings (gear icon)
Create a New Discount by selecting “Discounts”
Click “+ Discount”
Enter the discount details
Click Save to finalize
The discount can now be added to the specific appointment package landing page
Note: It is preferred to create a separate appointment package with the discount already applied rather than adding it manually to the landing page.
Setting Up Pay Rates for Staff
Pay rates must be set up for accurate payroll reporting. Staff members assigned to service appointment types will appear under Appointments > Pay Rates.
Access Pay Rate Settings:
Navigate to Appointments > Pay Rates
Click the three dots next to the staff member
Select “Edit”
Assign Pay Rates:
Check the box for the appointment type
Choose either a flat rate or percentage-based pay
Important Notes
Percentage-based pay is not supported for appointments purchased through a hybrid plan.
Flat rates apply regardless of the price paid by the client, including discounted appointments.
Configuring the Plus One Plan for Proper Credit Allocation in PushPress
PushPress users sometimes encounter issues where the Plus One plan does not allocate session credits properly. This article explains why these problems occur and how to resolve them by configuring the plan settings correctly.
Overview of the Plus One Plan
The Plus One plan in PushPress is designed to provide session credits, often used for activities like personal training (PT) appointments. However, misconfigurations can cause the credits to be allocated incorrectly, such as granting unlimited class access instead of personal training credits.
Common Credit Allocation Issues
Unlimited Session Setting: If the Plus One plan is configured to provide unlimited access to classes, credits may not appear for personal training sessions. Instead, the plan must specify a set number of sessions.
Incorrect Credit Type: The plan may be set to grant a "Plus One appointment session" instead of assigning the credit type for "Personal Training." Verifying the credit type ensures the setup correctly allocates session credits for the intended use.
Steps to Adjust Plan Settings for Correct Credit Allocation
To resolve these issues, follow these steps to configure the Plus One plan properly:
Verify the Credit Type:
Go to the plan settings in PushPress.
Confirm that the plan allocates a "Personal Training" session instead of a class or a different session type.
If you want the plan to allocate a specific session type like "Plus One appointment," update the credit type accordingly.
Adjust the Session Limit:
Check if the Plus One plan is set to provide "Unlimited" access to sessions.
Change this setting to a specific number of sessions (e.g., 1 session) to ensure credits are allocated correctly and appear in the Appointments/Credit section of the account.
Designate Credits for Personal Training Appointments:
Ensure the plan is configured to allocate credits for personal training appointments rather than class access.
Adjust the plan options to explicitly apply credits to appointments.
Troubleshooting Specific Scenarios
If you follow the above steps and still encounter issues:
Double-check that the changes have been saved successfully in the settings.
