Congratulations and welcome to your post Grow migration overview!

In this video, we’ll walk you through some of the key updates and enhancements in your newly upgraded account. Your system has been successfully migrated, and to help you make the most of these improvements, we’ll highlight important changes to look out for — along with a few essential steps you’ll need to take to fully update and optimize your account.


Before we wrap up, please take a moment to audit your entire account — especially your legacy workflows.

As part of the migration, we’ve disabled or removed many existing workflow triggers to prevent any unintended messages from being sent. If you intend to continue using these workflows, you’ll need to reconfigure them with new triggers to ensure they function as expected. Post Migration FAQs

What happens to my account with the migration?

  • Your existing workflows, tags, forms, and settings are kept — but updated!

    • We reorganize and clean up your account without fully deleting everything.

    • Your old workflows will have triggers that are disabled and removed, so we don’t accidentally fire off messaging to contacts, so you will have to connect these triggers later to fit how the new Grow update works.

Will I lose any of my data or messaging?

  • No — your contacts, conversation history, workflows, and settings remain intact. We only turn off or update workflows that could cause conflicts with the new Grow system.

What happens to my existing workflows?

  • Old workflows are moved into a folder called “Legacy Workflows.”

  • Some workflows that relied on old tag triggers are turned off or have triggers removed to prevent conflicts.

  • Any contacts already active in those workflows will continue receiving messages.

  • all workflows will have the old trigger removed to prevent accidental messages. You will need to update these triggers yourself.

  • You can later update or replace triggers to fit the new system.

How can I update old workflows to work properly?

  • You’ll need to review Legacy workflows and check triggers.

  • Replace outdated triggers (like old tags) with new triggers based on Client Status, Plan Status, or Pipeline Stages.

    • Common new triggers:

      → “Client Status changes to Member”

      → “Plan Activated”

      → “Reservation made”.

What new features will I see after the migration?

  • A new dashboard showing key tasks like unread messages, lead sources, and client alerts.

  • Cleaner, smarter pipelines to organize leads, memberships, appointments, and milestones.

  • Accurate check-in and appointment syncing from Core to Grow.

  • Linked account support (perfect for youth programs and family memberships).

  • “Smartlists” for saving automatic, dynamic contact groups.

What are Smartlists, and why should I use them?

  • Smartlists let you save searches (like all Members, Leads, Ex-Members) that update automatically when a contact matches your filters. No need to manually manage these lists anymore!

How is check-in and appointment data handled now?

  • Check-ins and appointments are now synced using custom fields instead of messy old tags.

    • This means:

      • Total class check-ins

      • Appointment check-ins

      • Open gym check-ins

      • Accurate Core appointment tracking is now automated and workflow- friendly.

What is the “Linked Accounts” feature?

  • Linked accounts allow parents and child accounts (like youth athletes) to be connected inside Grow. Now you can automate messaging and updates for families much more easily.

Will I need to move anything after migration manually?

  • If you had old leads or opportunities stuck in the old pipeline:

    • You’ll need to move them into the new updated pipelines.

    • You can move them one-by-one or bulk move using the Mass Update tool.

What if I don’t update my old workflows?

  • If you leave old workflows without updating triggers:

    • Existing people inside will still finish normally.

    • New leads or members won’t enter those old workflows anymore unless updated.

    • It’s best to audit and refresh them using the new fields and client statuses.

Why must I update my workflows or move my contacts manually?? Isn’t that what you all do?

  • Every gym runs differently — your workflows, client statuses, and membership setups are custom to your business. Because of that, only you (or your team) know exactly how you want your leads, members, and messaging to flow. With that said, we would be happy to help if you have trouble.
