Overview

The Grow assistant is a group of workflows that will help manage opportunities, tasks, notifications to staff, and error notifications for SMS messages. Note: Select the arrow next to each workflow to learn more!

Opportunity Pipeline Management

Website & Social Leads Funnel Manager

How It's Triggered:

This workflow is triggered when a lead submits a social form or social message from Facebook (FB), Instagram (IG), or Google, as well as any website form submission.

How it Works:

Based on how the contact enters the workflow, branches will direct them down the appropriate path and add them to the New Lead stage in your Lead Funnel pipeline.

NOTE:

  • This workflow does not send outbound messaging.

  • If you want to add messaging for contacts in these scenarios, we recommend adding it in the "New Lead" folder.

Further Note:

  • A contact will only enter this workflow once in their lifespan.

  • This helps prevent existing members who complete forms from being mistakenly placed in the "New Lead" stage.

Lead/Trial Class Actions Funnel

How It's Triggered:

This workflow is triggered whenever a qualifying check-in event occurs in PushPress Core.

Examples:

  • Class Check-in

  • Appointment Check-in

  • Open Gym Check-in

How it works:

  • This workflow manages qualifying reservations, check-ins, cancellations, no-shows, and late cancellations.

  • It places the contact in the appropriate stage within your "Lead Funnel" pipeline.

NOTE:

  • The contact must have a "Contact Status" of Lead at the time of their class action to follow the appropriate stage branches.

Additional Note:

  • This workflow does not send outbound messaging.

  • If you want to send messages to clients, we recommend using the workflows inside the "Core Classes" folder.

Intro Appointment Funnel

How It's Triggered:

This workflow is triggered whenever an appointment status is updated using the built-in Appointment features in Grow.

Pro Tip:

We recommend using Grow Appointments for "Intro" style appointments where you need a calendar link embedded in new lead emails or on your website.

  • This allows potential clients to book an appointment easily without needing to create a profile.

How It Works:

  • This workflow is triggered whenever an appointment status is updated using the Grow Appointment feature.

  • The contact will be moved to the appropriate stage in the New Lead Pipeline based on their appointment status.

How to Update Appointment Statuses:

  1. Go to "Calendars" in your Grow dashboard.

  2. Click "Appointments" at the top.

  3. Select the appointment you want to update.

  4. Change the status as needed.

Contact Status Changed Funnel

How It's Triggered:

This workflow is triggered whenever a contact's status changes.

Example:

  • If a new plan is added in PushPress Core, changing the contact's status from Lead to Member, this workflow will be triggered.

How It Works

  • This workflow checks the "Client Status" field on the contact's profile.

  • Based on the status, the contact is directed down the appropriate path and added to the correct pipeline stage.

Can tags be customized?

Yes, but we recommend using this workflow specifically for managing membership lifecycle stages.

  • All messaging should be handled within the "Core Plans" folder.

Client Status Change Membership Lifecycle

How It's Triggered:

This workflow is triggered whenever a contact’s "Status" changes in PushPress Core.

How It Works:

  • This workflow checks the "Client Status" field on the contact's profile.

  • Based on the status, the contact is directed down the appropriate path and added to the correct pipeline stage.

Can Tags Be Customized?

Yes, but we recommend using this workflow specifically for managing membership lifecycle stages.

Plan Status Changed Funnel

How It's Triggered:

This workflow is triggered whenever a contact’s "Status" changes in PushPress Core.

How It Works:

  • This workflow checks the "Client Status" field on the contact's profile.

  • Based on the status, the contact is directed down the appropriate path and added to the correct pipeline stage.

Can Tags Be Customized?

Yes, but we recommend using this workflow specifically for managing membership lifecycle stages.

  • All messaging should be handled within the "Core Plans" folder.

GymHappy Review Pipeline

How It's Triggered:

This workflow is triggered when the custom field "GymHappy Review Date" is updated.

How It Works:

  • This workflow updates your Dashboard and Pipeline stages to reflect your clients' happiness levels with your facility.

  • A lower score allows you to identify and reach out to clients who may need assistance before they churn.

Note:

  • This workflow does not include any outbound messages by default.

  • To add messaging, click the "+" under the appropriate branch and insert an SMS or email at that step.

Personal Training Appointments Pipeline

How It's Triggered:

This workflow is triggered whenever a qualifying appointment in PushPress Core is updated.

Examples:

  • Appointment Reserved

  • Appointment Check-in

  • Appointment Canceled

How It Works

  • This workflow manages qualifying reservations, check-ins, cancellations, no-shows, and late cancellations.

  • It places the contact in the appropriate stage within your Personal Training pipeline.

Note:

  • This workflow does not send outbound messaging by default.

  • If you want to send messages to clients, we recommend using the workflows inside the "Core Classes" folder.

Tag Management

Client Status Change Manager

How It's Triggered:

This workflow is triggered whenever a contact’s "Status" changes in PushPress Core.

How Does a Contact’s Status Change?

  • Each plan type you sell is assigned a designation: Lead, Non-Member, or Member.

  • When a plan is sold, the corresponding status label is applied to the contact in PushPress Core.

  • This workflow then applies the appropriate tag in Grow.

How It Works

  • This workflow checks the "Client Status" field on the contact’s profile.

  • Based on the status, the workflow follows the appropriate path and applies the correct tag.

Can Tags Be Customized?

Yes!

  • You can add or remove any tags as needed.

  • To rename a tag, go to:

    • Grow Dashboard

    • Settings > Tags

Client's Plan Status Changed

How It's Triggered:

This workflow is triggered whenever a contact’s "Status" changes in PushPress Core.

How Does a Contact’s Status Change?

  • Each plan type you sell is assigned a designation: Lead, Non-Member, or Member.

  • When a plan is sold, the corresponding status label is applied to the contact in PushPress Core.

  • This workflow then applies the appropriate tag in Grow.

    • Click on the tag name you want to edit

Contact Source

How it is triggered:

This workflow is triggered when a contact submits a social form or social message from Facebook (FB), Instagram (IG), or Google, as well as a website form submission.

How It Works

  • Based on how the contact enters the workflow, branches will direct them down the appropriate path and apply the corresponding tag.

Note:

  • This workflow does not send outbound messaging.

  • To modify existing tags, go to:

    • Grow Dashboard > Settings > Tags

    • Click on a tag to rename it.

  • To add new tags within this workflow, click the "Add Tag" step and create a new tag.

Further Note:

  • A contact will only enter this workflow once in their lifespan.

  • This workflow is designed to provide insight into a contact’s original source in Grow.

  • It prevents multiple tags from being applied if a contact submits a website form and later sends an Instagram message, ensuring a cleaner data structure.

Customer Reply Notify Staff

How It's Triggered

This workflow is triggered whenever you receive a SMS, Email, or WhatsApp Message from a contact.

How It Works

This workflow sends an internal notification to all staff whenever an inbound SMS, Email, or WhatsApp message is received.

New Task Assigned

How It's Triggered

This workflow is triggered whenever a task is assigned inside Grow.

How It Works

This workflow alerts the assigned staff member when a new task is assigned.

Note

The staff member must be added as "Staff" inside the Grow account to receive notifications.

Task Due Reminder

How It's Triggered

This workflow is triggered 1 day before any task is due.

Note:

  • You can adjust this trigger to any interval you prefer.

  • To modify, click the trigger and update the number to your desired timeframe

How It Works

This workflow sends an internal SMS notification to the assigned staff member as a reminder before the task is due.

SMS Error Codes

How It's Triggered

The workflow will trigger when you send a message to someone who in return replies "Stop" or if your message received an error for any type of "carrier" violation.

How It Works

The workflow is designed to send "All staff" an internal notification when either a contact replies "STOP" or you received an error from a carrier violation.

What can you do?

Check your message to ensure you're following best practices:

  • Clearly ID yourself by name and business name in the messaging

  • Don't add links to messages; especially link shorteners!

  • Cannot mention CBD or THC at all (even if legal in your state)

  • Make sure you send messages to only people who have opted in.

Can you modify "who" the internal messages get sent to?

Yes. Click in the "Green" step labeled "Warning Message"
