Welcome to Grow! If you're new to using the Grow CRM within PushPress, this guide will walk you through how to navigate the system effectively each day. Our goal is to help you streamline lead management and build stronger member relationships without getting overwhelmed by the system’s many features.
Understanding the Grow System
When you first log into your Grow CRM, you’ll notice a lot happening at once. To simplify your experience, focus on your Opportunity Stages. This is where you can monitor where each contact is in your sales and membership lifecycle. Think of it as your bird’s-eye view of lead progress.
Lead Funnel Pipeline
Start with the Lead Funnel pipeline:
New Leads: Anyone who fills out your contact form, pricing request, or chat widget enters here. Also includes leads who sign up for lead magnets or offers.
In Discussion: Leads move here automatically as workflows engage them. This is your chance to get them booked for:
Free Trials
Consultations
No Sweat Intros
Showed: Once a lead attends a trial or consultation (tracked via check-in), they move to this stage.
Needs Follow-Up: Leads who don’t immediately convert or who cancel an appointment land here.
Closed Won: Leads who purchase a membership successfully convert to this stage.
Note: Pipelines automatically progress based on workflow actions — no manual moving necessary.
Membership Lifecycle Pipeline
After someone becomes a member, they transition into the Membership Lifecycle:
Pending Active: A membership has been sold but starts later (e.g., future-dated start).
New Plan Added: Membership is confirmed with a billing plan.
Active: The member is fully onboarded.
Paused: Membership is temporarily suspended.
Future Cancellation: Cancellation has been scheduled but not yet effective.
Membership in Alert: Issues like failed payments appear here.
Completed: Membership is fulfilled (e.g., punch card completed).
Canceled: Fully canceled membership.
Personal Training Pipeline
Tracks personal training-specific interactions:
Canceled or No-Show: Appointment issues.
Booked: Appointment scheduled.
Checked-In: Session attended.
Gym Happy Pipeline
This pipeline focuses on member sentiment through reviews:
Based on 1–5 star ratings from review prompts.
Monitor changes in sentiment (e.g., 5 stars down to 3).
Reach out when ratings drop — it might indicate underlying issues not vocalized.
Check-In Milestones Pipeline
Retention starts with celebrating milestones:
First Check-In
10th, 25th, 50th, 100th, 250th, and even 2000th check-ins
Automated tracking helps you recognize and reward commitment.
Managing Conversations
To check in on real-time engagement:
Navigate to the Conversations tab.
Use filters like Unread, Recent, Starred, or All.
Search by name to see active chats, emails, and texts.
Jump in where needed or let automation do its thing.
The Contact Section
Every person that interacts with your business is stored here. This is your full contact list across all pipelines.
Reach Out Easily
From the Grow web dashboard or app, you can:
Call contacts directly.
Use the web-based dialer for quick follow-ups.
Daily Best Practices
Start in the Opportunities tab.
Focus especially on the Lead Funnel.
Spot-check conversations and follow up where appropriate.
Use Pipelines to understand client progression and issues.
Celebrate milestones to boost retention.
