Overview
Staff App Chat 1.5, included in Staff App v2.2.0, introduces a modernized chat infrastructure designed to significantly enhance team communication. These updates align the Staff App chat experience with modern messaging standards, resulting in better team engagement, improved clarity, and more streamlined collaboration.
Key Enhancements:
Reactions – Quickly respond to messages using emoji-based feedback for faster, expressive communication.
Threads – Keep discussions organized by responding directly to specific messages in a threaded format.
Video Support – Share and view video content directly within chat conversations.
Attachments – Upload and send files to enable more comprehensive and collaborative communication.
Read Receipts – Know when messages have been viewed to improve accountability and clarity.
Pinning – Keep important messages accessible by pinning them to the top of chat threads.
Create a Direct Message
Direct Messages in Staff App Chat
A direct message is a private chat between two or more staff members.
Ideal for one-on-one or small group conversations within the gym.
The chat title displays the participant names, e.g., “Andreya Triaya” or “Andreya Triaya + 1”.
Only the invited staff members can view and participate in the conversation.
How to Create a Direct Message
Open the Staff App and tap ‘Chat’ from the bottom navigation bar.
Tap the ‘+’ icon in the top right corner.
Select the staff member(s) you want to include.
Tap the ‘Write a message’ input once all names are added.
Type your message and tap the arrow icon to send.
The new message thread will now appear under the ‘Chats’ section.
Create a Group Message
Group Messages in Staff App Chat
A group message is a named chat involving two or more staff members.
Groups can be customized to fit your gym’s needs—common examples include:
Leads
Equipment
General
Upcoming Events
And more
Group visibility options:
Private Group: Only visible to invited staff members
Public Group: Visible and accessible to all staff, no invite required
How to Create a Group Message
Open the Staff App and tap ‘Chat’ in the bottom navigation bar.
Tap the ‘+’ icon in the top right corner.
Select ‘Create a Group’.
Choose the staff members to include (you can update this later).
Tap the arrow icon in the top right to continue.
Enter a group name.
Set the group to private (toggle on) or public (leave toggle off).
Tap the checkmark icon in the top right to save the group.
You can now send messages, and the group will appear under the ‘Chats’ section.

Messages can be sent in direct messages and group chats (both private and public).
Message content can include:

How to Send a Message
In the Chat section of the Staff App, select the desired group or direct message.
Tap the ‘Write a message’ input box to bring up the keyboard.
Type your message.
Tap the arrow icon to send the message.

Sending Media and Attachments in Staff App Chat
You can send videos, images, and attachments alongside messages.
File size limit: All media must be 100MB or smaller.
Media from your device’s library: Allows sending multiple images or videos at once.
Media captured in-app (photo/video) or attachments: Only one file can be sent at a time.
How to Send Media or Attachments

Tap the paperclip icon next to the message input.
Select the first icon (image).
Choose one or more images/videos from your device.
Tap the “>” icon to attach them to the message.
Tap the arrow icon to send.
Send an Attachment from Your Device
Tap the paperclip icon next to the message input.
Select the second icon (folder).
Choose the attachment you want to send.
Tap the arrow icon to send.
Take and Send a Photo
Tap the paperclip icon next to the message input.
Select the third icon (camera).
Take the photo, then tap ‘Use Photo’ or ‘Retake’.
Tap the arrow icon to send.
Record and Send a Video
Tap the paperclip icon next to the message input.
Select the fourth icon (video camera).
Record the video, then tap ‘Use Video’ or ‘Retake’.
Tap the arrow icon to send.
Pinned Messages

A pinned message is saved within a group chat or direct message for quick, easy access.

How to Pin a Message
Press and hold the message you want to pin.
Tap ‘Pin to Conversation’.
The message is now pinned.
How to View Pinned Messages
Open the direct message or group chat.
Tap the profile image circle or icons in the top right corner.
Select ‘Pinned Messages’.
View the list of pinned messages for that conversation.
How to Unpin a Message
Press and hold the pinned message.
Select ‘Unpin from Conversation’.
Reactions in Chat
Reacting to Messages in Staff App Chat
Staff members can add reactions to any message.
Available reaction options include: heart, thumbs up, thumbs down, LOL, and ?!
How to React to a Message
Press and hold the message in the chat.
Choose a reaction from the available options.
Your selected reaction will appear on the message.
How to View Reactions
Tap the reaction icon on the top right of the message.
A pop-up will show all reactions and who added them.
Tap outside the pop-up to close it.
How to Remove Your Reaction
Tap the reaction icon on the message.
In the pop-up, tap the same reaction you added to remove it.
How to Change Your Reaction
Tap the reaction icon on the message.
In the pop-up, select a different reaction to replace the current one.
Searching in Chat
Searching Chats in Staff App
Staff can search across all messages in both direct and group chats.
Note: The search only looks at message content, not group member names.
How to Search for a Chat
Tap ‘Chat’ in the bottom navigation bar.
Tap ‘Search’ at the top of the screen.
Enter the text or keywords you want to find.
View the search results and tap any message to open it in its chat thread.
Mentioning a Person in a Chat
Mentioning Staff in Staff App Chat
Staff can mention others in a message using @mentions.
The mentioned staff member will:
See the message in their ‘Mentions’ section.
Receive a push notification.
Mention rules:
In private groups or direct messages, you can only tag members already in the chat.
In public groups, staff must be added to the group before they can be tagged.
How to Mention a Staff Member
In a group message, type “@”.
A list of staff will appear—select the person you want to mention.
Scroll through the list if needed to find the staff member.
Complete your message and tap the arrow icon to send.
View My Mentions in Chat
Viewing Mentions in Staff App Chat
When a staff member is mentioned in a chat, it will appear in their ‘Mentions’ section.
The mentioned staff member also receives a push notification.
How to View Your Mentions
Open the Chat section in the Staff App.
Tap ‘Mentions’ at the top of the screen.
View the list of all messages where you were mentioned.
Deleting or Editing a Message in Chat

Staff members can edit or delete their own messages.
Admins can delete any message in the chat.
How to Edit a Message
Press and hold the message you want to edit.
Tap ‘Edit Message’.
Make your changes.
Tap the arrow icon to save the edited message.
How to Delete a Message
Press and hold the message you want to delete.
Tap ‘Delete Message’.
Confirm by selecting ‘Delete’ to permanently remove the message.
Reply or Thread Reply to a Message
Reply Options in Staff App Chat
Two types of replies are supported:
Regular Reply:
Displays both the original message and reply within the main chat.
Referred to as “Reply” in the system.
Thread Reply:
Keeps responses organized in a separate thread.
The main chat stays clean, and replies are accessible by viewing the thread.
How to Send a Regular Reply
Press and hold the message you want to reply to.
Tap “Reply”
Type your response.
Tap the arrow icon to send.
How to Send a Thread Reply
Press and hold the message you want to respond to.
Tap “Thread Reply”.
Type your response.
Tap the arrow icon to send.
Read Receipts
Read Receipts in Staff App Chat
Read receipts show message delivery and view status.
Helps you track how many people have seen your message.
What the Checkmarks Mean
Single grey checkmark: Message was delivered successfully.
Double checkmarks: Message was seen by at least one person.
Double checkmarks with a number: Message was seen by that number of people.
View My Threads in Chat
Threads in Staff App Chat
Threads are replies that form a separate conversation within a message.
They help keep chats organized and prevent unnecessary notifications to those not involved.
Only staff who are tagged or have responded will be notified.
How to View Threads
From the “Threads” section on the Chat home page.
By tapping the “Thread Reply” link within the specific chat message.
Updated Staff App Communications FAQs
Who Can Use Chat
Any staff member with Staff App access (enabled in Core) can use Chat.
If a staff member is removed or demoted to a member, they will no longer appear in chats.
What Happens When a Staff Member Is Removed or Demoted
They are removed from chats immediately.
Their past messages will be labeled as “Deleted User”.
Sending Attachments
You can send images, videos, audio files, or PDFs.
Maximum size per message: 100MB.
@all Mentions Not Supported
@all tagging is not supported in Staff App Chat due to chat provider limitations.
Accessing Chat from Core
Chat is only accessible via the Staff App (not from Core or desktop).

Understanding Chat Types
Group Messages: Named chats with 2+ people, used for specific topics (e.g., leads, equipment).
Private Group: Only visible to added staff.
Public Group: Visible and accessible to all staff.
Direct Messages: Chats with 2+ people, always private.
Chat titles appear as: [Staff Name] + [Number of Others].
