Overview
Welcome to the PushPress family.
This article is the starting point for every person on your team. Rather than reading through the whole Help Center, each role has one guide that covers what that person actually does day to day, in the order they will need it.
Pick your role below, work through that guide, and come back here whenever someone new joins the team.
This guide is for gym owners, admins, front desk staff, and coaches who are new to PushPress or onboarding a new team member. It covers PushPress Core and its connected apps, the Member App and the Staff App.
Before You Start
Confirm these three things before anyone opens their guide:
Every person has their own login. Owners and admins create staff accounts. Nobody should share a login, because check-ins and payroll are tied to the individual.
Every person has the correct role. Access level controls what each person can see and do. If the role is wrong, the guide will reference pages that are hidden from them. See Manage user roles.
Owners go first. The front desk and coach guides assume the account is already set up, so the owner should work through their guide before the rest of the team starts.
Find Your Role
You are setting up the system, managing billing, and running the business. Your guide is a two-week setup path covering billing and branding, staff and access, the schedule, membership plans, appointments, waivers, the apps, and the reports you will run every month.
You are handling check-ins, sales at the desk, and the member requests that only staff can complete. Your guide starts with the four things you need on your first shift, then builds to appointments, kiosk sales, and the full reference library.
You are running classes and supporting members, mostly from the Staff App. Your guide starts with the coach check-in flow, because your payroll is built directly from it, then covers appointments and coaching assignments.
Blended roles
Some people do more than one job. Use these combinations:
Solo owner-operator, who owns the gym, coaches, and runs the desk: start with the owner guide, then add the check-in sections of the front desk and coach guides.
Head coach, who coaches and manages staff: start with the coach guide, then add the staff and access sections of the owner guide.
Manager, who runs daily operations without owning billing: use the owner guide, and skip the billing and branding steps if your owner handles those.
Bookkeeper: go to the reports sections of the owner guide, where the payroll and financial reports live.
How to Use Your Guide
1. Work through the steps in order
Each guide is numbered and builds on itself, so start at the top. Skipping ahead usually means hitting a step that depends on a setting nobody has configured yet.
2. Stop at the end of the main path
Every guide ends with a Make It Yours section containing optional add-ons for specific business models: martial arts academies, appointments and personal training, open gym and 24-hour access, and events. Finish the main path first, then add only the blocks that match how your gym runs.
3. Keep the reference section for later
Each guide closes with a reference library that says where every setting lives. That part is not meant to be read start to finish. Come back to it when a question comes up mid-shift.
4. Spread it out
You do not need to finish a guide in one sitting. Each one is broken into sections so you can complete one at a time and pick up where you left off.
Important Notes
Important: Assign each person the correct role before they start their guide. Access levels are managed by owners and admins only.
Important: The front desk and coach guides assume the account is already configured. Owners should complete their guide first.
Note: Financial reports are reserved for owners and admins. Each role guide states what that role can and cannot reach.
Note: These guides cover PushPress Core, the Staff App, and the Member App. PushPress Grow and PushPress Train have their own documentation.
Frequently Asked Questions
Which guide should a new staff member use?
A new staff member should use the guide that matches what they spend most of their time doing rather than their job title. Someone who coaches classes and covers the desk occasionally is a coach first.
Do I need to finish a guide in one sitting?
No, you do not need to finish a guide in one sitting. Each one is divided into sections so you can complete one at a time and pick up where you left off.
Can a staff member start before their role is assigned?
A staff member should not start before their role is assigned, because pages referenced in the guide will be hidden from their account until the correct access level is set.
Which guide covers my business model?
All three guides cover every business model. Martial arts academies, appointment and personal training studios, open gym and 24-hour facilities, and gyms that run events complete the main path first, then add the relevant blocks from the Make It Yours section at the end of their guide.
Where do I find everything else?
Everything else lives in the Get Started collection in the Help Center. The role guides link out to individual articles wherever you need more detail on a specific step.
How do I get help if I am stuck?
If you are stuck, use the blue messenger box in the bottom corner of the Help Center to reach support. For anything specific to how your gym operates, ask your manager or owner first.
