Overview
The Invoices page in PushPress Core gives you one place to see every invoice in your account, take action on an individual invoice, and review payment history. This article explains how to find, filter, and act on invoices in the rebuilt Invoices experience so you can resolve billing questions in a single view. This guide is for gym owners, admins, and staff who create and manage invoices.
To access it: Payments → Invoices.
How to Open the Invoices Page
1. Navigate to Payments
To navigate to Payments, log in to PushPress Core and click Payments in the left navigation.
2. Open Invoices
To open Invoices, click Invoices under Payments. Core loads every invoice in your account, including open, paid, comped, and voided invoices.
The invoices table is sortable and filterable. Use the search bar to filter by name or choose by the tabs: All, Open, Paid, Pending or Forgiven.
Invoice Actions
Click the three-dot menu on any invoice to access available actions:
Pay — Charge the member's card or payment method on file.
Comp — Mark the invoice as complimentary (no charge).
Cash — Record a cash payment.
Forgive — Write off the invoice balance without charging.
View — Open the invoice detail view.
How to Find a Specific Invoice
1. Search by member name
To search by member name, type the member's name into the search bar above the invoice table. The list filters as you type.
2. Filter by status
To filter by status, click one of the tabs above the table: All, Open, Paid, Pending, or Forgiven. Each tab shows only invoices in that state.
3. Sort the table
To sort the table, click a column heading. Sorting works alongside the search bar and the status tabs, so you can narrow the list and then order it.
How to Take Action on an Invoice
1. Open the actions menu
To open the actions menu, find the invoice in the list and click the three dot menu at the end of the row.
2. Choose an action
To choose an action, select one of the following from the menu:
Pay: charge the member's card or payment method on file.
Comp: mark the invoice as complimentary, with no charge to the member.
Cash: record a cash payment against the invoice.
Forgive: write off the invoice balance without charging the member.
View: open the invoice detail page.
How to Review an Invoice in Detail1. Open the invoice
To open the invoice, click the invoice row in the list, or choose View from the three dot menu.
2. Review the invoice details
To review the invoice details, read the detail page, which shows the invoice number and status, the member name and billing details, the line items and amounts, and the payment history for that invoice.
3. Issue a refund
To issue a refund, open a paid invoice and click Refund. A refund window opens where you can process a full or partial refund.
Troubleshooting Invoices
If the Invoices page does not show what you expect, check the following:
An invoice is missing from the list: confirm which status tab you are on. The Open tab hides paid, comped, and forgiven invoices.
A search returns nothing: the search bar matches the member name on the invoice, not the invoice number. Clear the search and use the status tabs instead.
The Pay action fails: confirm the member has a valid payment method on file and that the card has not expired.
The Refund button does not appear: refunds are available on paid invoices only. An open, comped, or forgiven invoice has no captured payment to return.
Important Notes
Important: Comp, Cash, and Forgive change the invoice balance and cannot be undone from the invoice page. Confirm the amount before you apply one.
Important: Refunds return money to the member's original payment method and are processed through your payment processor. Processing time depends on the member's bank.
