Adding a Staff Member in Core (Not Already in PushPress)
1. Navigate to Staff Settings
Log in to your Core Account.
Go to People + Person → Staff
2. Invite the Staff Member
Click + Staff.
Enter the staff member's name and email address.
Select their role (e.g., Admin, Staff, Coach).
3. Set Permissions
Assign the appropriate permission level based on what the staff member needs access to.
Roles control what they can see and do in Core and the Staff App. (These cannot be separate accesses.)
4. Send the Invitation
Click SAVE.
The staff member will receive an email with a link to set up their account.
They must complete registration before they can log in.
Note: Staff members must use the email address the invite was sent to when registering. If the invite email is not received, check spam or resend the invite from Settings > Staff.
*If the member is ALREADY in the Core Account, head their member profile and adjust their access at the bottom in Settings. Adding through the steps above will share an error that the member already exists.
Managing Member Profile Setup and Update Requests
Members can submit requests to update their profile information. As a staff member or admin, you can also set up and edit member profiles directly in Core.
Setting Up a New Member Profile
Go to Members in Core.
Click Add Member or use the + button.
Enter the member's:
First and last name
Email address
Phone number (optional)
Date of birth (optional)
Emergency contact (optional)
Assign the member to a plan if applicable.
Save the profile.
The member will receive a welcome email with instructions to set up their account and access the Members App. The member must complete steps to access app.
Updating an Existing Member Profile
Navigate to Members and search for the member.
Open their profile.
Click Edit on the relevant section (personal info, billing, etc.).
Make the necessary updates.
Save the changes.
Adding a Lead in Core
Leads are prospective members who have expressed interest in your gym but have not yet signed up for a plan. Adding them in Core lets you track and follow up on their interest.
1. Navigate to People
Log in to Core.
Go to People in the left navigation.
2. Add a New Person as a Lead
Click Add Person or the + button → Lead
Enter the person's details:
First and last name
Email address
Phone number (optional)
When selecting the person type, choose Lead.
3. Save and Follow Up
Save the profile.
The lead will appear in your People list with a Lead status.
Use the lead's profile to log notes, assign follow-up tasks, or convert them to a member once they're ready to sign up.
Note: A lead can be converted to a member at any time by assigning them a plan from their profile. Their contact information and history will carry over.
Frequently Asked Questions
What is the difference between a Lead and a Member?
A lead is a prospective member who has not yet been assigned a plan. A member has an active or assigned plan. You select the person type (Lead or Member) when adding someone in Core. Leads can be converted to members at any time.
Can a staff member also be a member?
Yes. A person can have both a staff account and a member profile in PushPress.
What if a staff member didn't receive their invite email?
Check that the email address was entered correctly. You can resend from member profile. Ask the staff member to check their spam folder as well.
Can members update their own profiles without staff approval?
Some fields can be updated directly by the member via the Members App. Changes to sensitive fields may require staff review and approval depending on your gym's settings. Members cannot cancel memberships or remove payment information.
Why can't I see a newly added member or lead?
Try refreshing the People list. If the person was just added, it may take a moment to appear. Confirm the profile was saved successfully by searching for their name or email.
Troubleshooting
If you're having issues adding staff, members, or leads, check:
Staff invite not received — Confirm email address, check spam, and resend from Settings > Staff.
Member or lead profile not saving — Ensure all required fields (name, email) are completed.
Lead not converting to member — Confirm a plan has been assigned to the lead's profile.
Permission issues — Confirm your staff role has the necessary access level.
Important Notes
Important: Staff roles and permissions determine access to Core and the Staff App. Review role settings carefully before assigning them to new team members.
Note: All person types (Staff, Member, Lead) require a unique email address. Duplicate email addresses will cause an error when creating a new profile.
