How to Manage Leads with High-Touch Lead Capture

Learn how High-Touch Lead Capture works, what happens when a lead submits the form, and how your staff should follow up to book them into the right offer.

The High-Touch Lead Capture form lets your gym collect lead info directly from your website. Instead of sending visitors to a booking calendar, it captures their name, email, and phone number so your team can reach out and start a real conversation.

This article explains how leads flow into your account and what your staff needs to do to follow up.

Why High-Touch Lead Capture?

Some gyms aren't a great fit for fully automated booking. This option is built for gyms that:

  • Hit class caps often and need to manage trial bookings manually

  • Prefer a personal intro before assigning a prospect to a plan or class

  • Use coach-managed scheduling where keeping a live calendar up-to-date is a challenge

Instead of sending a stranger straight to a booking link, your team gets a heads-up first — so you can find the right fit for each person before they walk through the door.

How It Works

When someone fills out the form on your website, three things happen automatically:

1. The lead sees a confirmation message on screen

"Thanks, [First Name]! We got your info and someone from our team will reach out shortly to get you set up."

2. The lead gets an auto-response

  • An SMS is sent: "Hey [First Name], thanks for reaching out to [Gym Name]! One of our team members will follow up with you shortly to find the best way to get you started."

  • An email is sent with a similar message letting them know someone will be in touch.

3. Your staff gets a notification

You'll receive an alert with the lead's name, email, and phone number — this is your cue to reach out.

Note: The notification channel (email, app push, or in-app) depends on your gym's settings. Check with your onboarding rep if you're unsure where notifications are going.

What to Do When a Lead Comes In

High-Touch Lead Capture is a manual follow-up flow. Your team is responsible for taking the next step.

Step 1 — Find the lead in your CRM

  1. Log in to your Grow account

  2. Go to Contacts or your Lead Pipeline

  3. Find the new lead — they'll appear in the appropriate stage

Step 2 — Reach out personally

  • Call, text, or email the lead using their contact info

  • The goal is to learn a little about what they're looking for

  • Ask about their goals, availability, and what brought them in

Step 3 — Book them into the right offer

Once you know what fits, manually book them into:

  • A Free Trial Class

  • A Free Intro Appointment

  • A class or plan that matches their goals

Step 4 — Update the lead stage

  • Move the contact to the correct stage in your Lead Pipeline to keep your pipeline clean

Frequently Asked Questions

Why doesn't my website have a "Book Now" button?
Your site was set up with High-Touch Lead Capture. This means the main button collects their info first, rather than sending them directly to a calendar. This was chosen during your onboarding to give your team more control over who gets booked and when.

Will leads know someone is going to call them?
Yes. They get an automatic text and email right after submitting the form telling them a team member will follow up shortly.

Where do I find new leads?
Log in to your Grow account and check your Lead Pipeline or Contacts. New leads from the form will show up there automatically.

How fast should I follow up?
As fast as possible — ideally within the first hour. Research shows response rates drop quickly after that first window. The auto-text buys you a little time, but a personal call or message is what closes the lead.

Can I still use a Contact Us form?
Yes. Your Contact Us form and the contact button in your navigation are still active and working normally. High-Touch Lead Capture only replaces the main call-to-action button on your homepage.

What if I want to switch to automated booking instead?
Reach out to the PushPress Grow support team. Switching to a Free Trial Class or Free Intro Appointment CTA requires a change to your website setup.

Troubleshooting

I'm not getting lead notifications.

  • Check your notification settings in Grow

  • Confirm your email address and phone number are correct under your profile

  • Ask your onboarding rep which notification channel was set up for your account

A lead submitted the form but I don't see them in the CRM.

  • Wait 1–2 minutes and refresh your Contacts page

  • Search by the lead's name or email

  • If they still don't appear, contact PushPress Grow support

The form on my website isn't showing up correctly.

  • Try refreshing the page or viewing it in a different browser

  • If the form is missing or broken, contact PushPress Grow support — this requires a website fix

⚠️ Important: High-Touch Lead Capture is a manual process. Leads will not be automatically booked into a class or appointment. Your team must follow up to complete the booking. If leads are going unanswered, response time and booking rate will drop.
