Which Calendar Do You Need?
PushPress Grow offers two versions. Choose the one that matches how your gym runs free trials:
Free Trial Class Calendar — for gyms that bring leads into a group class
Free Intro Appointment Calendar — for gyms that schedule one-on-one intro sessions tied to a specific staff member
Both work the same way. Pick one and set it up using the steps below.
How to Set Up Your Calendar
1. Go to Calendar Settings
In PushPress Grow, click Calendars in the left menu
Click Calendar Settings
Find your Free Trial Class or Free Intro Appointment calendar and click Edit

2. Customize Your Calendar
Update the name, colors, and logo to match your gym
Set your availability to match the days and times you offer free trials or intro appointments

3. Check the Advanced Settings
Scroll down to Advanced Settings
Confirm that the Free Trial Intake Form is attached
This form is what leads fill out on your website before they pick a time to book
Note: The intake form captures lead information first. This way, even if someone leaves without booking, you already have their name, email, and phone number so you can follow up.

How the Lead Flow Works
Here's what happens from the moment a lead lands on your booking page:
Lead visits your website and clicks your calendar link
They fill out the Free Trial Intake Form first
They are redirected to pick a date and time to book
If they book: A follow-up is triggered to send your Waiver and/or PAR-Q forms
If they don't book: A 10-day nurture sequence starts automatically to encourage them to come back and book

How the Nurture Sequence Works (When They Don't Book)
When a lead fills out the form but doesn't book a time, the workflow takes over automatically. Here's the full sequence:
The Free Trial Intake Form submission triggers the workflow
The workflow pauses for 30 minutes (between 9am–5pm)
It checks whether the lead has booked a free trial
If they booked: The workflow stops — no further messages are sent
If they haven't booked: The following happens automatically:
Your team receives an internal email notification letting them know the lead hasn't booked yet
The lead receives a series of emails and text messages over 10 days, gently reminding them to finish booking their free trial
At the end of the sequence, your team receives a final SMS letting them know the workflow has ended and suggesting a personal follow-up call
Note: If the lead books at any point during those 10 days, the workflow detects the booking and immediately stops all further follow-up. You don't need to manage this manually.

How to Connect Your Waiver and PAR-Q Forms
When a lead books, Grow can automatically send them your Waiver and/or PAR-Q forms. To make this work, you need to:
Download the Waiver and/or PAR-Q snapshots from the Content Library
Add the form URLs to your Custom Values in Grow settings
Important: The Waiver and PAR-Q snapshots must be downloaded from the Content Library before you can use this feature. The booking workflows point to those forms using Custom Values — if the URLs are missing, the form links in your emails will not open.
Step 1: Get Your Form URLs
Go to Websites → Forms → Surveys
Open your PAR-Q or Waiver survey
Click Integrate → Share
Copy the Share Link
Repeat this for both forms if you plan to use both.

Step 2: Paste the URLs Into Custom Values
Go to Settings → Custom Values
Find PAR-Q URL and/or Waiver Form URL
Click Edit
Paste the form link into the Value field
Click Update
Important: Do not change the name of the custom value — only update the value field with your URL.

Step 3: Choose Which Forms to Send After Booking
Inside the booking workflow, you'll see three options for which forms to send:
PAR-Q only
Waiver only
Both PAR-Q and Waiver
Turn on the option that matches what your gym uses. Once a lead books, the workflow waits 3 minutes and then sends them a follow-up email with a link to complete the selected form(s).

What If You Don't Want to Use the Waiver or PAR-Q?
No problem. Leave the forms portion of the workflow off and use everything else. Just make sure your calendar availability is set correctly and the nurture workflow is turned on.
Frequently Asked Questions
What's the difference between the Free Trial Class and Free Intro Appointment calendars? The Free Trial Class calendar is for group class drop-ins. The Free Intro Appointment calendar is for one-on-one sessions tied to a specific staff member. Both work the same way — just pick the one that fits your gym.
Why does the lead fill out a form before picking a time? This ensures you capture their contact info even if they leave without booking. If someone can't find a time that works, they'll often close the page — and you lose the lead. Collecting their info first means you can always follow up.
How long does the nurture sequence run? The sequence runs for up to 10 days. It sends a mix of emails and texts to the lead, plus internal notifications to your team. If the lead books at any point, the workflow stops automatically.
What does my team get notified about? Your team gets an internal email notification when a lead doesn't book within 30 minutes of filling out the form. At the end of the 10-day sequence, your team also gets an SMS suggesting a personal follow-up call.
Where do I find the Custom Values for the form URLs? Go to Settings → Custom Values. Look for PAR-Q URL and Waiver Form URL.
What happens if I don't fill in the Custom Values? The form links in your booking confirmation emails will not work. Leads will click the link and nothing will open. Always paste your form URLs into Custom Values before turning the workflow on.
Do I need to download the Waiver and PAR-Q separately? Yes. The Waiver and PAR-Q are separate snapshots in the Content Library. Download them first, then grab their share links and add them to Custom Values.
Can I use just one form instead of both? Yes. Inside the workflow, choose PAR-Q only, Waiver only, or both.
Troubleshooting
If form links in booking emails are not working, check:
Did you paste the correct share link into the Custom Values?
Go to Settings → Custom Values and confirm both URL fields are filled in
If the nurture sequence is not sending, check:
Is the not-booked nurture workflow turned on?
Did the lead submit the Free Trial Intake Form? The workflow only triggers on form submission
If leads are not getting forms after booking, check:
Is the PAR-Q or Waiver snapshot downloaded from the Content Library?
Is the correct forms option enabled inside the booking workflow?
Are the Custom Values filled in with the correct URLs?
