What is the Bring a Friend Snapshot?

The Bring a Friend Snapshot is a ready-to-use tool that helps gym owners invite new people to their gym using simple emails, forms, and automatic notifications.

It makes it easy for:

  • Current members to refer friends

  • Non-members (leads) to save a spot for a Bring a Friend event

Everything is already built for you. Once you download the snapshot from the Content Library, it is ready to use with only a few small edits.


Who is this for?

This snapshot is designed for:

  • Gym owners and staff

  • Current gym members who want to invite friends

  • Non-members who want to attend a Bring a Friend Day or Week


Why should I use this?

The Bring a Friend Snapshot helps you:

  • Get more referrals with less effort

  • Keep things organized automatically

  • Make sure staff knows who to follow up with

  • Save time by using templates instead of building from scratch

It creates an easy ask for members and a clear next step for new people.


When should I use it?

Use this snapshot when you are running:

  • A Bring a Friend Day

  • A Bring a Friend Week

  • Any referral-based event

You can reuse these templates anytime you run a similar event.


What’s Included in the Snapshot?

1. Email Templates (Marketing → Emails → Templates)

You will find a folder called:

Content Library → Bring a Friend

Inside are two email templates:

Bring a Friend – Current Members

  • Send this to your existing members

  • Asks them to refer a friend

  • Button says “Bring a Buddy”

  • Button links to a referral form

You only need to update:

  • “Bring a Friend Day / Week” (choose one)

  • Event date(s)

  • Add your logo

  • Adjust colors or images (optional)

Everything else is already done for you.


Bring a Friend – Non-Members

  • Send this to leads or people not in your gym yet

  • Invites them to attend the event

  • Button says “Save My Spot”

  • Button links to a non-member form

You only need to update:

  • “Bring a Friend Day / Week”

  • Event date(s)

  • Add your logo

  • Adjust colors or images (optional)


2. Forms (Sites → Forms)

You will see a folder called:

Bring a Friend

There are two forms:

Member Referral Form

Used by current members to submit a friend.

It asks for:

  • Member’s name

  • Friend’s name

  • Friend’s phone number

  • Friend’s email

  • Optional notes about the friend

Members should submit one form per friend.


Non-Member Form

Used by people who want to attend the event themselves.

It asks for:

  • Name

  • Phone number

  • Email

This form includes an opt-in message and a Save My Spot button.


3. Workflows (Automations → Workflows)

There are two workflows that run automatically.


Bring a Friend – Member Referral Workflow

This runs when a member submits a referral form.

It will:

  • Create a contact for the referred friend

  • Add notes showing who referred them and when

  • Notify staff by email and SMS

Staff can then:

  • Call

  • Text

  • Email the referred friend

It does not:

  • Send any outbound communication to the referred person


Bring a Friend – Non-Member Submission Workflow

This runs when a non-member saves their spot.

It will:

  • Notify staff by email and SMS

  • Send a short confirmation email and text to the person

This lets the person know:

“Thanks! We’ll be in touch shortly.”

Staff is expected to follow up with event details.


How to Use the Snapshot (Quick Steps)

  1. Download the snapshot from the Content Library

  2. Go to Marketing → Emails → Templates

  3. Open each Bring a Friend email

  4. Update:

    • Day or Week

    • Event date(s)

  5. Add your logo or images

  6. Schedule or send the emails

  7. Watch referrals and sign-ups come in

  8. Follow up with contacts using the notifications


Important Notes

  • You do not need to edit the workflows for it to work

  • Staff follow-up is required after notifications

  • Templates can be reused anytime

  • Advanced users can customize workflows if desired
