Creating a power dialer workflow for your lead pipeline

Steps to Create a Power Dialer Workflow

Step 1: Create a Workflow in Grow

  • Go to Workflows and click Create Workflow > Start from Scratch.

  • Click the + icon, search for Manual, and choose the manual action type.

    • Option 1: Manual action for calling.

    • Option 2: Manual action for SMS (add a placeholder message).

  • Save, publish, and label the workflow appropriately (e.g., “Power Dialer Workflow”).

Step 2: Segment Your Contact List

  • Go to Contacts and apply filters to segment your list.

    • Use Pipeline Stage to select a specific stage (e.g., “New Leads”).

    • Add a time filter: Created within the last 30 days.

  • Save this segment as a Smart List (optional), which will update automatically based on criteria.

Step 3: Add Contacts to Automation

  • Select all contacts in your filtered list. If there are multiple pages, ensure you select all.

  • Click Add to Automation and select the workflow you created (e.g., “Power Dialer Workflow”).

  • Confirm the action to add contacts to the workflow.

Step 4: Use the Manual Actions Dashboard

  • Navigate to Conversations > Manual Actions to access your call or SMS lists.

  • For Call Workflows:

    • Start the call sequence, and the system will auto-dial the first contact.

    • Log the call outcome (e.g., completed, voicemail, no answer).

    • Add notes or create tasks before moving to the next contact.

    • The system auto-dials the next lead once ready.

  • For SMS Workflows:

    • The placeholder message auto-loads for each contact.

    • Customize each message based on the lead’s unique circumstances before sending.

Step 5: Follow-Up and Conversion

  • For calls, prioritize booking appointments to get leads into the gym.

  • Personalize communication where possible to improve engagement and conversion rates.

  • Track and manage lead progress within the workflow to maximize efficiency.

Pro Tip:

Calling is often more effective for securing bookings, as direct communication improves conversion rates. Use the SMS option for personalized follow-ups when calls are unsuccessful.
