Resolving Member Count Discrepancies and Generating Accurate Reports in PushPress
Understanding and managing member counts in PushPress can sometimes be challenging due to differences in filters, criteria, and reporting tools. This guide provides solutions to common issues and best practices for generating accurate member reports.
Understanding Member Counts
Discrepancies in member counts often arise from differences in how data is filtered or displayed across various pages and reports:
Smart Lists in Grow: Use the Member Smart List in Grow for the most accurate count of active members synced from Core. Note that sub-accounts will not appear in the Smart List.
Dashboard Counts: The "Active Memberships" count reflects all individuals with an active recurring plan and is the most accurate total. Other counts may differ due to varying inclusion criteria.
People Page: Only individuals with an active Member plan appear as active members. Having credits or a package alone does not qualify.
Using Smart Lists Effectively
Smart Lists are a powerful tool for managing and communicating with members:
Creating Accurate Lists: To email only active clients in Grow matching Core, create a Smart List filtered by "ACTIVE" status.
Troubleshooting Missing Contacts: If your Smart List shows fewer contacts than expected, check the filters. Avoid combining criteria like "Members" and "Ex-Members," as this can limit results.
Resolving Member Listing Issues
Sometimes, members may not appear in reports or lists due to status or filter issues:
Ex-Member Status: If a person’s status is stuck on "Ex-member," they will be excluded from the Member Report even with an active plan. Update their status to resolve this.
Paused Memberships: Accounts with paused memberships may resume and show as active. Ensure staff is aware of such scenarios to avoid confusion.
Membership Status and Reporting
To generate specific reports or track historical data:
Rolling-Window Queries: Use the AI Reporting assistant to query members active within a specific time frame, such as the last 4 months.
Custom Field Updates: To find contacts missing specific data (e.g., "90 Day Goal Session Date"), use filters to identify and update them.
Best Practices for Accurate Reporting
Always verify the filters and criteria applied to lists and reports.
Use the People page with "Active Memberships" or "Active Profiles" filters for real-time counts.
Regularly review and update member statuses to ensure accurate reporting.
By following these guidelines, you can effectively manage member data and resolve discrepancies in PushPress.
